KEY RESPONSIBILITIES

  • Act as primary contact for the client with any activities related to the project
  • Implement, execute and managed all the operational requirements for the client and the project
  • Work seamlessly with all stakeholders involved to ensure smooth operations and success in all countries of operation
  • Assist the client in accomplishing any task required in relation to the scope of work identified for the program, including transportation, staffing, tours, pre / post excursions and management of the total Hospitality program
  • Planning/delivering corporate hospitality components/programs in all countries of operation
  • Recruiting, hiring, training in conjunction with TEAM Destination Management staff, and managing local staff, of varying capabilities/experience levels for events and large programs
  • Developing complex transportation and flight plans around airport arrivals and various venues along with Senior Transport Manager
  • Creatively managing customized tour and leisure activity options, including pre and post excursions, from local resources in all countries
  • Managing hotel operations, including facilitation of work with the hotel on rooming, F&B, function space, etc.
  • Keeping a clear record and paper trail of enquiries, bookings and amendments
  • Consulting / Advising on local culture and local business practices and, arranging special access for exclusive client use at desirable venues
  • Recommending and providing insight into options for other program requirements (such as local vendors for gifts, supplies, d├ęcor / design, IT, etc.)
  • Developing concierge / local guest services information for programs in the hotels
  • Staying with clients in the country of operation for the duration of the project
  • To ensure client expectations are met and the highest delivery of service is driven through the business
  • Travel with clients to site visits
  • To ensure that clients are offered the best available price and product
  • To continually look at creative ideas and review products which are offered to clients
  • To build and retain relationships with clients
  • Establish and maintain good relationships with all Tourvest staff and divisions
  • To ensure effective communication with clients at all times
  • To ensure that all correspondence, costings, documentation, proposals, presentations are delivered accurately and timeously
  • To follow-up with clients and any leads
  • Establish reason for decline of proposal and evaluate possible learnings
  • Commitment to and building relationships with suppliers
  • Ensure that the best rates are always negotiated and secured
  • Understanding supplier products

  • Oversee all invoicing for the respective project and client involved

  • Reconciling of project costs
  • Liaise with auditors on finances relating to the relevant client and project

QUALIFICATIONS

  • Matric/Grade 12 and tertiary qualification

AND EXPERIENCE

  • Have an in-depth understanding of Spain in terms of business dealings and understanding the Spanish culture
  • Experience and knowledge in a project management environment related to the sporting industry

REQUIRED SKILLS

  • Must be able to speak Spanish and English fluently
  • The ability to travel extensively and for longer periods of time

The salary for this position is competitive and dependent on relevant experience.
