• To produce high quality proposals and detailed costings for customers whether for TEAM DM
  • To work with our preferred suppliers to procure accommodation, transportation, staff services, activities etc and negotiate best rates at all times
  • To manage bookings / accounts from time of confirmation through planning and implementation
  • To take responsibility for the financial reconciliation of all bookings / projects including raising invoices and working alongside finance to ensure good credit control
  • To deal with clients on a day-to-day basis, whether by phone, e-mail and face-to-face meetings
  • To be responsible for issuing contracts for new bookings, taking into account supplier deadlines and cashflow
  • To follow up all client proposals, keeping progress reports for management reporting up to date at all times
  • To attend site visits, familiarisation visits and work on-site at events / on tours as required (at times over weekends or bank holidays)
  • To maintain good working relationships with existing suppliers and build relationships with new suppliers in both Japan and overseas
  • To work closely with the Sales and Operations Teams and take responsibility for the creation of itineraries, costings and proposals using the brief provided
  • To be responsible for all reservations made through suppliers without cost implication, ensuring release dates and payment terms are met
  • To maintain data at all times in the reservations system and become involved in the implementation of a new reservations system
  • To be involved with the content (and where applicable, design) of all websites, brochures and mailings


  • Relevant qualification in travel and tourism


  • Previous experience of working for a Sports Tours Operator, DMC, Incentive or agency / corporate travel or event business


  • Proven administrative expertise with an eye for detail
  • Used to reaching deadlines with short lead in time – can work under pressure
  • A positive, flexible and organised approach to tasks
  • Experience of producing high quality proposals and detailed costings
  • Good knowledge of Microsoft Office packages including Excel, Word and PowerPoint
  • To be able to multi task whilst effectively prioritising
  • Good communication skills
  • Great team worker but equally adept to work independently
  • To have confidence in ability to make own decisions and take responsibility for this
  • Candidate must be fluent in English and Japanese and eligible to work in Japan
