KEY RESPONSIBILITIES

Working in the strategic meeting management tool (SMMT) and perform the following functions:

  • Formulate client requirements into workable itinerary
  • Sourcing suppliers on Cvent
  • Availability, Pricing and Budget documentation
  • Rate negotiations with vendors
  • Commission negotiations with vendors
  • Strategic Meeting Management Tool System maintenance and management

Programme Management functions:

  • On receipt of Purchase Order confirm all necessary services i.e.
    • Booking of flights
    • Assisting with VISA applications and getting all VISA documents together timeously;
    • Confirming and paying suppliers
    • Rooming lists
    • Function sheets
  • Meet with clients onsite to confirm and discuss requirements;
  • Site inspections
  • Onsite assistance where necessary
  • Client invoicing, reconciliations, supplier payments
  • Following up outstanding debtors
  • Making sure that we receive commissions and refunds within a reasonable time
  • Manage of margins on files

QUALIFICATIONS

  • Matric / Grade 12

AND EXPERIENCE

  • Experience in Strategic Meeting Management
  • Extensive experience in process and systems management

REQUIRED SKILLS

  • Strong MS Office skills and ERP-System skills
  • Cvent knowledge would be an advantage

SALARY

The salary for this position is competitive and dependent on relevant experience.
