SALES & MARKETING CO-ORDINATOR

Description

A perfect opportunity for someone, ideally with experience in the travel industry, to join a growing and increasingly busy team.

The candidate must be able to manage multiple files at one time, with the majority of time spent assisting the sales team, compiling proposals out to existing and potential customers.

Working closely with both the sales and operations teams, this is a diverse role which encompasses the provision of travel services, predominantly for school sports tours, to and from the UK, but also occasionally within other areas of the business.

The role will also require assistance in managing and updating the company CRM system, as well as creating and delivering marketing campaigns, therefore experience in marketing is also preferred.

Responsibilities

  • Assisting TTM sales team with the writing and compilation of sales proposals sent out to new and existing customers, predominantly in the school travel sector
  • Assist sales team in the handover of quotations to operations, once bookings are made
  • Work with the sales team to manage reporting and maintain the CRM system for recording proposals (submitted, won, not awarded) for monthly updates and Quarterly review report
  • Work with Sales team to review existing TTM products and assist in developing new product offerings to clients, as well as identifying new suppliers (DMC’s, for example)
  • Add to, and maintain client database/mailing list in collaboration with the sales team
  • Marketing support – assist with content and compilation of monthly newsletters to databases when relevant, as well as providing relevant content for TTM social media platforms
  • Occasionally attend site visits and familiarisation trips, to identify new product
  • Undertake additional administration tasks to assist sales team, when required
  • To always work with colleagues in a professional manner
  • To proactively take advantage of new opportunities for the business

CLIENT RELATIONSHIPS

  • To produce high quality proposals for Team Travel Management’s clients (and any other brands that evolve) using the brief provided by the sales team or client
  • To finalise itineraries for clients, once bookings are made, working in conjunction with the sales and operations team
  • To follow up all client proposals, always keeping progress reports for management
  • To ensure client expectations are met at the highest delivery level

TECHNICAL SKILLS

  • Previous use of systems (for compiling proposals and drafting itineraries) would be very useful
  • To be involved with the content (and where applicable, design) of all websites, brochures and mailings
  • To ensure that all correspondence, documentation, proposals and presentations are delivered accurately and timely.
  • To follow the requirements outlined by the Operations Manager and Operations Director, to comply with the guidelines set out by different stakeholders
  • Knowledge of customers’ needs and products.
  • To follow administrative procedures as outlined by the Company.

ADMINISTRATION

  • To ensure minimum standards are set and measured to include prescribed internal processes, timelines and actions and update meetings with both clients and suppliers
  • Ensure all proposals, itineraries and costings (where applicable) are accurate and professional
  • To ensure that folders are set up in Dropbox as prescribed and all documents filed accordingly

TEAM WORK

  • Establish and maintain good relationships with all Tourvest staff (UK & SA)
  • Pro-actively get involved.

SUPPLIER RELATIONSHIPS

  • To maintain good working relationships with existing suppliers and build relationships with new suppliers in both the UK and overseas

LEARNING & DEVELOPMENT

  • To attend site visits & familiarisation visits and work on-site at events / on tours as required to heighten knowledge and understanding (at times over weekends or bank holidays)
  • Attend exhibitions, trade shows where necessary and relevant
  • Work with the Revenue Director to identify your training requirements

 

Qualifications and Expertise

 

  • Matric / Tourism Qualification
  • 3 – 5 Years Experience in the Tourism Industry
  • Good knowledge of Microsoft Office packages including Excel, Word and PowerPoint.

Salary

The salary for this position is competitive and dependent on relevant experience.
